The National Children’s Museum is a world-class institution that aims to spark the imagination and encourage children to dream. Steps off the National Mall and Pennsylvania Avenue, National Children’s Museum celebrates the joy of childhood through science, technology, engineering, arts, and math (STEAM) exhibits and programs. As the Advancement Coordinator, you will help realize this vision for hundreds of thousands of in-person and virtual visitors who engage with the Museum each year.
As Advancement Coordinator, reporting to the Director of Advancement, you will be a critical member of the Advancement Team. You will help provide support for all of the Museum’s ongoing fundraising efforts and provide excellent customer service to donors and Museum members.
what you’ll do
- Manage an institutional grant calendar and serve as the primary grant and proposal writer;
- Partner with the Education + Guest Experience team, as well as the Exhibits + Facilities team, on grant applications and reporting, and work closely with the Finance + Administration team to ensure detailed accounting of grant uses;
- Maintain and update the grants calendar and donor pipeline;
- Working with the Advancement + Membership Manager, develop proposals and other funding requests;
- Manage the donor acknowledgment process, including tracking, drafting letters, overseeing reviews and edits, and ensuring a timely delivery;
- Support advancement functionality in the Museum’s CRM (PatronManager), including gift entry and donor notes;
- Work in tandem with the Project Coordinator to maintain clean donor data and adjust records as needed to maintain data quality and ensure useful output of reports;
- Work in tandem with the Project Coordinator to conduct prospect research (individuals and institutional donors) and support donor meetings as needed, including preparing agendas and developing donor briefs and proposal materials;
- Send weekly/monthly financial updates and reconcile donor database to accounting reports each month;
- Support annual appeals and fundraising efforts by managing vendor relationships, guest lists, and other administrative responsibilities;
- Provide logistical and on-site support for member and fundraising events, including Member Magic Mornings, Member Appreciation Week, and the Museum’s annual fundraising event; and
- Support other Advancement-related tasks as needed.
important experiences + traits for this role
- Bachelor’s degree;
- Previous experience in the non-profit sector, preferably at a cultural institution;
- High attention to detail and excellent organizational skills;
- Customer service perspective and polished interpersonal skills;
- Ability to balance multiple time-critical projects and pivot quickly;
- Team player who values a collaborative working environment;
- Strong writing skills with the ability to tailor messaging to different audiences; and
- Passion for the mission of National Children’s Museum.
additional helpful experience for this role
- 1 year of relevant fundraising experience;
- Previous experience managing donor database and data; and
- Proven ability to manage large projects while maintaining attention to detail.

hours + location
Full-time, 40 hours/week position. Must be available to work onsite from 9 am to 5 pm at least four days per week, and remotely one day per week. Occasional weekends and after-hours work are required for meetings and special events.
